Add/Copy/Export/Import a Schematic

Within this article you will find instructions on how to build a Schematic in Safefood 360° using the Diagram Drawing Tool. A Schematic can also be known as a Flow Chart throughout the system. The Diagram Tool allows a User to create and customise their own Schematics. The Schematics built using the 'Add Schematic' button within the Food Safety module are not linked to any Food Safety Plans, they are stand alone Schematics. If you wish to create a Schematic that is linked to a Food Safety Plan, ensure you create your Schematic within the Food Safety Plan Flow Diagram workflow stage. Alternatively, see below how to move Schematics via the 'Export-Import' option.

How to Add a Schematic

To add a Schematic, navigate to the Food Safety Plan module in the Risk>Food Safety Plan dropdown. Then click on the stand-alone 'Add Schematic' button.

Completing a Schematic

1. Name: Detail the 'Name' of the Schematic in the open text field.

2. Main Diagram Plane: Using the Diagram Tool, create the Schematic. See the article on the Diagram Drawing Tool for further details.

3. Save: Click the 'Save' button to save your Schematic. Your Schematic must have a name before it can be saved.

4. Cancel: Click the 'Cancel' button to discard the Schematic and exit back to the Food Safety Plan module.

How to Copy a Schematic

You can build as many Schematics as needed in the Food Safety Plan module using the 'Add Schematic' button, but to speed up the process, you can Copy existing Schematics and make changes as required within the module itself.

1. Choose Schematic: Click into the Schematic that you want to Copy.

2. Actions>Copy: Click the ‘Actions>Copy’ button to copy the Schematic.

3. Save: Click the 'Save' button to save the newly copied Flow Diagram. However, before clicking the 'Save' button, if any edits to the Flow Diagram are needed, they can be made now.

How to Export/Import a Schematic

If you have a Schematic that you would like to include in the Food Safety Plan Flow Diagram section, you cannot copy and move the Schematic directly via the ‘Actions’ tab. Instead, you can use the ‘Export/Import’ feature.

1. Choose Schematic: Click into the Schematic that you want to Export.

2. Access Schematic: Click the ‘Actions>Edit’ button to access the Schematic.

3. Export Schematic: Click the 'File>Export' button within the Schematic.

4. Export Pop-Up: The 'File>Export' button will provide a pop-up in which the Format must be changed to '.XML' before the 'Export' button can be clicked.

Warning: Ensure you only export in the .XML format. No other formats will work when using the Import function later on. The .XML must be exported from Safefood 360°, no external .XML files can be imported.

5. Format Change: Using the Format dropdown, select '.XML - Extensible Markup Language'.

6. Export: Once the Format has been changed to .XML, click the 'Export' button to export the Schematic and download the file to your device.

7. Select Food Safety Plan: Navigate to the Food Safety Plan module via 'Risk>Food Safety Plan' to locate the Food Safety Plan you wish to import the Schematic to.

8. Actions>Edit: Click the 'Actions>Edit' button to access the Food Safety Plan to import the Schematic.

9. Add Flow Diagram: Once you have opened your Food Safety Plan, navigate to the Flow Diagrams section using the dropdown arrow and click the ‘Add Flow Diagram’ button.

10. Name New Flow Diagram: Give your Flow Diagram a Title using the open text field.

11. Save Flow Diagram: Once you have given your Flow Diagram a Title, click the ‘Save’ button. You must save the Flow Diagram first before you can complete the Import steps.

12. Open Flow Diagram in New Window: Once the Flow Diagram is saved, click the 'File>Open in new Window’ button. You must complete this step first to complete the Import steps. This will open the Flow Diagram in full view within a new window.

13. Import File: Within the new window, click the ‘File>Import’ button to access the file to be imported.

14. Choose File: Once you have clicked the 'File>Import' button, an Import pop-up will appear. You must choose your file using the 'Choose File' button.

Warning: As noted previously, ensure you only Import .XML files only that were previously Exported using Safefood 360°. External .XML files will not be imported.

15. Import File: Once you have selected the .XML file, click the 'Import' button.

17. Save Flow Chart: Once your .XML file has been imported and you have made any changes if needed, click the ‘File>Save' button to save this Flow Diagram in the Food Safety Plan.

18. Reason for Change: A Reason for change pop-up will appear once the 'Save' button has been clicked. This pop-up open text field must be completed and the 'Confirm' button clicked.

19. Main Flow Diagram: Once the Reason for Change is completed, you will be brought back to the main window of the Flow Diagram in the Food Safety Plan. Further changes can be made here if needed in the usual Flow Diagram screen.
