Add/Copy a Control Model
Within this article, you will find instructions on how to build a Control Model in Safefood 360°. The Control Model allows a User to pre-define their Control Plans, saving time when completing Records. The Control Models can then be embedded into a Decision Tree, to be used as part of a Food Safety Plans Monitoring Details workflow stage, or as part of the Controls workflow stage within the Supplier/Material Assessments.
How to Add a Control Model

To add a Control Model, navigate to the Food Safety Plan module via Risk>Food Safety Plan. Once within the Food Safety Plan module, click the 'Add Model>Control Model' button.

Note: You can also copy an existing Control Model and make changes as required by navigating to the required Control Model within the 'Models' tab, clicking on the Control Model 'Name', which will be in blue text, and use the 'Actions>Copy' button.

Completing Control Details

1. Name: Using the open text field, enter the 'Name' of the Control Model. This name will appear throughout the system where this Control Model is selected, e.g. within a Decision Tree Model, Monitoring Details workflow stage of the Food Safety Plan, or Control workflow stage of the Supplier/Material Assessment. [Mandatory Field]
Tip: If there are specific requirements used in your Control Model, it is good practice to include some details in the name of the Control Model. This helps the User locate the correct Control Model easily and ensure the information is standardised.
For example:
1. If a Control Model has been created for Materials that receive a Medium Risk within a Material Full Assessment, we suggest that you include this in the name, e.g. Material Control :: Medium Risk.
2. If a Control Model has been created for a particular CCP included in multiple Process Steps of a Food Safety Plan, we suggest that you include this in the name, e.g. CCP 1 - Metal Detection.
2. Folder: Select a folder for your Control Model. It is recommended to maintain a tidy and organised structure within the system for improved efficiency when using the software, e.g. organising folders by Control Category such as Supplier Controls, Material Controls, Food Safety Plan Controls, etc. If you require to create a new folder, click on the main ‘My Control Model’ folder, and click the 'New Folder' button at the bottom left side of the folder window. You will be prompted to name your new folder by simply typing into the open text field. To save the new folder, click away from the folder.
3. Control: Using the open text field, detail the name of the Control. This describes the activity, e.g. Audit, Testing, Metal Detection, etc. [Mandatory Field]
4. Control Limit: Using the open text field, detail the Control Limit, e.g. Failed Test, Failed Audit, etc. [Mandatory Field]
5. How: Using the open text field, detail how the Control is conducted. [Mandatory Field]
6. Responsible: Using the Master Data dropdown from Job Descriptions, select the 'Responsible'. The Responsible should ensure that the Controls are conducted as per specifications and follow a suitable schedule. [Mandatory Field]
7. Frequency: Using the open text field, detail how often the Control needs to be conducted, e.g. Yearly, Monthly, Per Delivery, etc. [Mandatory Field]
8. Corrective Action: Using the open text field, detail what action must be taken if the Control Limit is met. [Mandatory Field]
9. Records: The 'Record' field is a dropdown that allows you to select a Document or Programme, where data and evidence supporting the fulfilment of the Control is maintained. This dropdown comes from the Documents within the Documents module and the list of Programmes throughout the different modules, e.g. Audits, Monitoring, etc. Only one Document or Programme can be linked to one Control line.
10. Verification: Using the open text field, detail the activity that confirms that all the elements of the Control are in place, adequate and capable of producing safe and legal product. [Mandatory Field]
11. X: Click the 'X' button to delete any unwanted lines.
12. Add Line: More Controls can be added by clicking the 'Add Line' button.
13. Save: Click the 'Save' button to save the Control Model.
14. Cancel: Click the 'Cancel' button if you wish to discard the Control Model and exit back to the Food Safety Plan module.
