Common Elements in Programmes, Records and Other Entities

The convenient Date Picker calendar is configured by default across system elements such as Programmes, Records or Other Entities where dates are required.

1. Side Arrows: You can navigate through the months by scrolling back and forward by one month using the ‘Arrow’ buttons.

2. Central Arrow: To quickly navigate through months and years, click the arrow in the centre of the top bar. This will open a selection calendar box where you can easily choose the specific month or year you’re looking for.

3. Today: At any time, you can select 'Today' to input current date.

Note: The date format in the Record (e.g. DD/MM/YYYY, MM/DD/YYYY, etc) will depend on the Date/Time Settings in your Plant Settings.

Expand or collapse content The Master Data Entity Dropdown

The Master Data Entity dropdown allows you to quickly and easily find Employees, Products, Materials, Suppliers and many other Entities in the system.

1. Folders: The expand and collapse folders arrow allows the User to navigate through the Entity folders to find their specific Entity.

2. Search Box: The Search Box can be used to search for the name of the Entity, saving the User time from navigating through the folders.

3. Add New: You can also click the 'Add New' button to add a new Entity to the list. This will open a new window for your entry. Make sure to select the appropriate folder first, before clicking the 'Add New' button as you will be redirected to a page based on the folder you selected. After adding a new Entity, return to the main page and reopen the selector to ensure the newly added Entity appears in the list.

Note: The Entities included in the dropdown will depend on the Programme, Record or Entity type.

You may find a table in a Programme, Record or Other Entity you are completing.

1. Input Field: You can type directly into the cell. Some cells are configured to accept only numerical input, ensuring that data such as Tolerance in the Calibration Programme or Quantity in the Batching Programme is correctly formatted. Other cells are more flexible, allowing for any type of text: letters, or numbers.

2. X: Click the red 'X' to remove rows from the table.

3. Add Line: Click the 'Add Line' button to add more rows to the table.

Note: Some Table will have columns that come with a built-in sorting option, which can be useful when you need to organise data. If sorting is available in a column, clicking the column name will display a blue arrow, indicating that the rows have been sorted alphabetically.

However, if you accidentally activate the sorting and want to remove it, refreshing the page will usually reset the sorting back to the original order. Be aware that any unsaved changes will be lost if you refresh the page. If refreshing the page doesn’t remove the sorting from the column, logging out and then back in may be necessary to restore the initial view.

Expand or collapse content Linked Documents

In Programmes, you can select multiple Procedures and other Documents from the Documents Module and link them to the Programme. These Documents will then appear in the generated Record and will be available for preview within the Record. To preview the Document simply click the Document name that will be highlighted in blue and maybe underlined too.

Documents can also be linked to the Checklists/Doclists, making them accessible for preview within Internal Audit, Site Audits, Supplier Audits, or Pre/Full Assessment Records. In the Checklist/Doclist, only one Document can be attached per row. The linked Document name won’t be visible in the Record as it will appear as a black icon in the relevant row of a Checklist/Doclist.

For the Monitoring and Receiving Records, you can link a Document to a Test. In this case the Test with the attached Document will appear in blue text in the Record. The name of the Document won’t be visible. You can click on the Test Name and the Document will become available for preview.

Expand or collapse content Mandatory Fields

When you attempt to click 'Save & Submit’, the system will verify that all Mandatory information has been submitted. If any necessary information is omitted, then the incomplete fields will be highlighted in red as shown above. Simply fill in the highlighted fields and click ‘Save & Submit’ again to proceed.

Expand or collapse content Form Headers

All Programmes, Records, and Entities in the application will contain a header bar at the top of the screen. This header will vary considerably between different forms, but it will always consistently display key information starting with the Number of the Entry (Programme, Record or Entity), Date, and Name to ensure that essential details are always readily visible.
