How to Manage (Resend/Remove) Supplier Portal Invitations

Once you have invited a Supplier User to the Supplier Portal, you can track their invitation to see if they have accepted it within the Invitations Tab of the Users and Users Invitation Report. If the invitation has expired, you can simply remove the invitation or resend the invitation. Expand each section for further explanation.

Manage Supplier Invitations via the Invitation Tab

Step 1: Navigate to the Users via the 'Settings>Users' Buttons

To locate a Supplier Portal Invitation, navigate to the Users via the 'Settings>Users' buttons.

Note: You will only see the 'Settings' button if you have the correct Role access. Ensure that you contact your site admin if you do not have the access to complete this task.

Step 2: Locate Supplier Portal Invitation in Invitation Tab and Click on the Supplier Portal Invitation Name

The Invitation tab will contain all Internal and Supplier Portal Invitations. You will need to locate the Supplier Portal Invitation from this list. You can use the 'Search Name' field or use the Navigation Arrows to move easily through the list. Once you have located your Supplier User Invitation, click the blue text User Name to access the User Invitation page.

Supplier Portal User Invitations that have not yet been accepted will be noted as 'Pending' within the Status column of the Invitation tab. Invitations expire after 7 days. Therefore if the invitation is expired, you must manually resend it within the Invitation itself.

Important to Remember:

The Invitations within the Invitations tab will never say 'Expired'. Therefore, the User Invitation Report can be used to filter between those 'Pending' but in date Invitations and those 'Pending' but expired Invitations.

Step 3: Click the 'Remove Invitation' Button in the Supplier Portal Invitation Page

To remove the Supplier Portal User Invitation, simply click the 'Remove Invitation' at the bottom of the page. A confirmation pop-up will appear, asking you to confirm the Supplier Portal User Invitation removal. Once you click 'Yes', the User Invitation will be removed.

Step 3: Click the 'Resend Invitation' Button in the Supplier Portal Invitation Page

To resend the Supplier Portal User Invitation, simply click the 'Resend Invitation' at the bottom of the page. A new Email Invitation will be automatically sent to the Supplier Portal User. This new Invitation will expire within 7 days.

Note: You will only receive a confirmation pop up when 'Removing' the Invitation. When the 'Resend' button is clicked, the screen simply loads and brings you back out the Invitation list.

Manage Supplier Invitations via the Users Invitation Report

Step 1: Navigate to the Users Invitation Report via the 'Supplier Management>Supply Chain Management' and Accessing the Reports Tab

The User Invitations Report in the Supply Chain Management module, allows to you filter through all the User Invitations sent and whether there a still Pending, Accepted or Expired. Using the filters at the top of the Report, you can filter to just see the Supplier Portal User Invitations. From here you can quickly access the Expired Invitations and Resend or Remove the Invitation.

Step 2: Filtering for Expired Supplier Portal User Invitations

Within the User Invitation Report filters can be used can filter for specific information, including:

- Solution: Select Supplier Portal
- View: Select Expired

Once you have applied the Supplier Portal and Expired filters, using your mouse, right click on the 'Supplier Link'. This will open the Expired Invitation in a new browser tab. Doing this will allow you to move back and forth between the Invitation browser tabs and the Report browser tab. If you use your mouse and left click on the 'Supplier Link', this will bring you to the Expired Invitation in the same browser tab. Therefore losing the filters you placed an on the Report.

Step 3: Click the 'Remove Invitation' Button in the Supplier Portal Invitation Page

To remove the Supplier Portal User Invitation, simply click the 'Remove Invitation' at the bottom of the page. A confirmation pop-up will appear, asking you to confirm the Supplier Portal User Invitation removal. Once you click 'Yes', the User Invitation will be removed.
