Supplier Dashboard

When you click on a Supplier within the system, you will be brought to the Suppliers page in Master Data, which contains a tab called 'Summary'. The 'Summary' tab has Dashboards that shows information for the Supplier.

Accessing the Supplier Summary Tab

Access the Supplier Summary tab by either:

Option 1: Navigating to the Supplier Management Module and clicking on the' Suppliers' tab

Navigate to the Suppliers tab of the Supply Chain Management module using the 'Supplier Management>Supply Chain Management>Suppliers' buttons. You can then use the search bar or arrows to scroll through the Suppliers to locate the Supplier you wish to view the Summary tab for.

Option 2: Navigating to 'Master Data>Contacts' and clicking on the 'Suppliers' tab

Navigate to the Suppliers tab of the Contacts in Master Data using the 'Master Data>Contacts>Suppliers' buttons. You can then use the search bar or arrows to scroll through the Suppliers to locate the Supplier you wish to view the Summary tab for.

Summary Tab Dashboards

This article will cover the following Supplier Tab Dashboards:

Supplier Status

1. Supplier Name: The Name of the Supplier will be seen here.

2. Status: The Approval Status of the Supplier will be seen here. Approved or Not Approved will appear here depending on if the Supplier was Approved or Not Approved within a Supplier Full Assessment Record or Supplier Audit Record.

Note: The Approval Status from the most recently completed Supplier Full Assessment Record or Supplier Audit Record will display within the 'Status'.

3. Open Actions: The amount of Open Actions (Open Records) the Supplier is currently noted in will be seen here, e.g. Pre-Assessment, Full Assessment, Supplier Audit, Supplier Corrective Action.

Supplier Details

1. Archived: The Archived will note if the Supplier has been Archived using the 'Actions>Archive' button. 'Yes' will display if the Supplier has been Archived and 'No'  will display if the Supplier is not Archived.

2. Risk Assessment - Absence of Control: If a Supplier Full Assessment Record has been completed for the Supplier and the 'Risk Assessment - Absence of Control' workflow stage was completed, the Risk Result from the Risk Assessment Model will display here. The verbiage noted here will depend on the Risk Assessment Model used, e.g. Low, Medium, High. If no Risk Assessment has been completed for this Supplier, it will display as 'None'.

3. Risk Assessment - Presence of Control: If a Supplier Full Assessment Record has been completed on the Supplier and the 'Risk Assessment - Presence of Control' workflow stage was completed, the Risk Result from the Risk Assessment Model will display here. The verbiage noted here will depend on the Risk Assessment Model used, e.g. Low, Medium, High. If no Risk Assessment has been completed for this Supplier, it will display as 'None'.

Note: The Risk Result from the most recently completed Supplier Full Assessment Record will display within the 'Risk Assessment - Absence of Control' and 'Risk Assessment - Presence of Control' sections.

4. Category: The Supplier Category associated to the Supplier appears here, e.g. Packaging Supplier, Ingredient Supplier, etc. If no Supplier Category has been completed for this Supplier, it will display as 'None.

5. Type: The Supplier Type associated to the Supplier appears here, e.g. Manufacturer, Agent or Broker, etc. If no Supplier Type has been completed for this Supplier, it will display as 'None.

Note: The Supplier Categories and Supplier Types can be added to Categories in Master Data and must be associated to the Supplier to appear in the Supplier Details Dashboard. The Supplier Categories and Supplier Types can be associated directly in the Supplier page in the Master Data or within a Pre-Assessment Record, if applicable.

Open Actions

The following set of Dashboards analyse the Open Actions (Open Records) for the Supplier. It then breaks down the overall Open Actions (Open Records) by the Record Type.

1. Open Actions:

- Actions Open: This shows the number of overall Open Actions the Supplier has.
- Actions Overdue: This shows the number of Open Actions that are Overdue, regardless of the Risk assigned to the Action.
- Significant Risk Actions Overdue: This shows the number of Open Actions that are Overdue and have been assigned a Significant Risk, e.g. High Risk or Medium Risk.

2. Assessments:

- Assessments Open: This shows the number of Open Assessments (Pre-Assessment and Full Assessment) Records the Supplier has.
- Assessments Overdue: This shows the number of Open Assessments (Pre-Assessment and Full Assessment) Records that are Overdue, regardless of the Risk assigned to the Record.
- Significant Risk Actions Overdue: This shows the number of Open Full Assessment Records that are Overdue and have been assigned a Significant Risk, e.g. High Risk or Medium Risk.

Note: Pre-Assessment Records do not have a Risk assigned to them. Therefore they will not sit within the Significant Risk Actions Overdue.

3. Performance Reviews: Not available in system - currently being developed

4. Supplier Corrective Actions:

- Corrective Actions: This shows the number of Open Supplier Corrective Action Records the Supplier has.
- Corrective Actions Overdue: This shows the number of Open Supplier Corrective Action Records that are Overdue, regardless of the Risk assigned to the Record.
- Signifi. Risk Corrective Actions Overdue: This shows the number of Open Supplier Corrective Action Records that are Overdue and have been assigned a Significant Risk, e.g. High Risk or Medium Risk.

5. Supplier Complaints:

- Supplier Complaints Open: This shows the number of Open Complaint Records raised against the Supplier.
- Supplier Complaints Overdue: This shows the number of Open Complaint Records raised against the Supplier that are Overdue, regardless of the Risk assigned to the Record.
- Supplier Complaints Significant Risk: This shows the number of Open Complaint Records raised against the Supplier that are Overdue and have been assigned a Significant Risk, e.g. High Risk or Medium Risk.

6. Audits:

- Audits Open: This shows the number of Open Supplier Audit Records the Supplier has.
- Audits Overdue: This shows the number of Open Supplier Audit Records that are Overdue, regardless of the Risk assigned to the Record.
- Significant Risk Audits Overdue: This shows the number of Open Supplier Audit Records that are Overdue and have been assigned a Significant Risk, e.g. High Risk or Medium Risk.

Supplier Compliance

1. Current Compliance Rating: The Supplier Compliance Dashboard displays a Compliance Rating for the Supplier based on the Actions that are Open and Overdue against the Supplier, e.g. If the Supplier has 100 Actions and 50 of them are Overdue the Supplier is 50% Compliant. We should aim to have the Compliance Rating as close to 100% as possible.

Note: The Compliance Rating bar is colour coded. It follows the following limits:

Red: 0% - 32%
Orange: 33% - 66%
Green: 67% - 100%

2. Source: The Source will display a bar chart which shows the Record Types which are adding to the Compliance Rating, e.g. there are Overdue Audits and Supplier Corrective Actions.

Supplier Location & Contact

1. Map/Satellite: Select to view the Supplier Location on Map or Satellite View.

2. Street View: Click and drag the yellow man symbol on the Map to view the area in Street View.

3. +/- Icons: Click the '+' and '-' icon buttons to zoom in and out of the Map.

4. Site Address: The Supplier's Physical Address that has been added within their Master Data page will appear here in the Site Address.

5. 24 Hour Contact: The Supplier's Main Contact Name, 24 Hour Contact and Email information that has been added within their Master Data page will appear here in the 24 Hour Contact.

Note: If there is no Physical Address or Main Contact noted in the Supplier's page, the Supplier Location & Contact Dashboard will not populate.

Governance Indicators

The Governance Indicator Dashboard populates data on the Country the Supplier is located in. The Dashboard shows 6 Indicators which are used to measure good governance:

- Voice and Accountability

- Government Effectiveness

- Political Stability and Absence of Violence/Terrorism

- Regulatory Quality

- Control of Corruption

- Rule of Law

1. Percentile Average: This is the overall measure of Governance and is the average of the percentiles for the 6 Indicators. It is scored from 0 - 100, with higher values indicating better governance.

2. Country: The Country the Supplier is located in, which the 6 Indicators data is showing for, will be detailed here. The Country is pulled from the Supplier's Physical Address which has been added within their Master Data page.

3. Classification: If the Country is a High-Risk Country the Classification will say 'Risk', if the Country is not a High-Risk Country the Classification will say 'None'.

4. Indicator: The 6 Indicators as set by the World Governance Indicators (WGI) are listed here.

5. Year: 4 years of data is displayed for each Indicator. Hover over the bars to see the specific percentage for each Indicator for a specific year.

Note: Safefood 360° is updating the Indicators data every year once the World Bank has published the data.

Note: If there is no Country noted in the Supplier's Physical Address, the Governance Indicators Dashboard will not populate.

Supplier Risk

1. Current Risk Status: The Supplier Risk Dashboard displays a Risk Rating for the Supplier based on the Actions that are Overdue, with a Significant Risk, against the Supplier. We should aim to have the Risk Rating as close to 0% as possible.

Note: The Risk Rating bar is colour coded. It follows the following limits:

Green: 0% - 32%
Orange: 33% - 66%
Red: 67% - 100%

2. Source: The Source will display a bar chart which shows the Record Types which are adding to the Risk Rating, e.g. there are Overdue Audits and Supplier Corrective Actions with a Significant Risk.

Recent History

1. Recent History: Recent Records generated for the Supplier will appear here. You can access the specific Record by clicking the name of the Record.

Compliance Card - Documents

If you have sent an Full Assessment Record to the Supplier requesting Mandatory Documents within the Doclist, the 'Compliance Card - Documents' Dashboard will show if the Supplier has been compliant with providing you the documentation.

1. Documents: The Name of the Mandatory Documents Requested within the Doclist of the Full Assessment Record.

2. Status: The Status of the Document, e.g. if the Supplier has provided the Document within the Full Assessment Record, the status will say 'Completed' in a green box. If the Full Assessment Record is overdue meaning the Documents are overdue to be provided, the status says 'Overdue' in an orange box.

Note: If the 'Compliance Card - Documents' Dashboard is blank, that means there are no Mandatory Documents in the Doclist.

The 'Compliance Card - Actions' Dashboard provides information on the Supplier's Record Actions.

1. Actions: The Name of the Supplier Record type appears here, e.g. Assessment, Supplier CA's, Audits, etc. 

2. Record Name: The Name of the Record appears here. Click on the Record name to access the Record.

3. Status: The Status of the Record is displayed here, e.g. if the Record has been completed it will say 'Completed' in a green box. If the Record is overdue the status says 'Overdue' in an orange box.

Note: The Recalls, Requests and Supplier Complaints section of this Dashboard are currently being updated.
