Manage Deleted Records

A Record in Safefood360° is never truly deleted - it is simply moved to the 'Deleted Records Archive' in Settings. Deleted Records will not appear anywhere within the relevant Modules, but can be accessed at any time in the 'Deleted Records Archive' where you can view the Deleted Records' details and Recover the Records if needed.

A 'Deleted Record' in Safefood360° includes any Programme, Record and Folder, etc., that has been deleted. In Master Data, it is not possible to delete an Entity due to the integrated nature of the modules.

Follow the steps below to View or Recover Deleted Records.

Step 1 - Navigate to Deleted Records Archive

Click 'Settings>Deleted Records Archive'.

Step 2 - View and Recover Deleted Records

1. No.: This is the original Record number of deleted Record.

2. Date: This is the Date that the Record was created in the System.

3. Name: This is the Name of the Record, and where relevant, the Record number will also appear in brackets.

4. Date Deleted: This is the Date that the Record was deleted from its module.

5. Deleted By: This is the User that deleted the Record.

6. Audit Log: To view the Audit Log of the Deleted Record, you must Recover the Record first (Step 7 below) and view the Audit Log in the Recovered Record page.

If you do not intend to Recover the Record to your system, you should ensure that you delete the Record again once you have viewed the Audit Log.

7. Recover: Clicking the 'Recover' button will instantly recover the deleted Record and return it back to its original location in the system, i.e., relevant module and workflow stage. The Recovery date ad time will be automatically added to the Audit Log and can be seen when you access the Audit Log of the Recovered Record.

8. Navigation Arrows: Use the navigation arrows to navigate through the Deleted Records pages.

9. Displaying: In the screenshot above, 'Displaying 1-10' (this is the number of Deleted Records that are displayed in the page) 'of 12' (this is the total number of Deleted Records).

10. Search Name: You can use the 'Search' bar to search for specific Deleted Records by their name only.

Step 3 - View the Audit Log of Deleted and Recovered Records
