Add Open Data Barcode Field (Receiving and Inspection Module Only)

Note: The 'Open Data - Barcode Field' is only applicable to customers who are using the Receiving and Inspection Module.

An Open Data Barcode Field is one of the building blocks you might build in Master Data when preparing to set up Templates and Programmes in the Receiving and Inspection Module. The Barcode Field, along with other Tests and Open Data, can be used in Item Inspection Templates, and in return will appear in Item Inspection Programmes and Item Inspection Records.

The Barcode Field can be completed two ways in an Inspection Record - either by entering the code in the designated field manually, or using the scan option for the code to be scanned and added to the Inspection Record.

The Barcode Field is the only Open Data that may carry a 'Pass' or 'Fail' Test result, but only if the 'Validate Code against Master Data' option has been enabled.

Adding an 'Open Data - Barcode Field'

To add an 'Open Data - Barcode Field', navigate to the Tests module via 'Master Data>Tests', then click on 'Add Open Data>Barcode Field'.

Enter 'Open Data - Barcode Field' Details

1. Name: Enter the name of the Test. This name will appear in the 'Open Data' folder when building Templates in the Receiving and Inspection module.

2. Folder: It is good practice to organise your Barcode Fields into folders to help you keep them in logical, tidy groups. This will help you to source your Open Data easier when you are building your Templates. Adding Open Data to folders with clear naming conventions will help you speed up your Template Building Process.

3. Description: This is an open text field. Provide a brief description of the Barcode Field - this will appear in the Item Inspection Templates when building them, helping you identify your Barcode easier if some are built with similar names.

4. Procedure: If a related Procedure is required, you can select the supporting Document previously uploaded to Master Data here. When completing an Inspection Record, you will be able to click on the name of the Test (which will appear as a blue clickable hyperlink) and preview or download the Document while in the Inspection Record.

To select a Procedure, click on the dropdown arrow and your Documents folder will be displayed. From there, navigate to your required folder, select your file until a grey background appears, and click 'Select' to add it to the Test. To remove a procedure, click the 'X' button.

5. Validate Code against Master Data: Click the box to enable this setting. If you enable this, upon completing the Inspection Records, when a barcode number is entered manually or automatically via a barcode scanner, the value in the Barcode field will be compared against the information entered for that Product or Material in its Master Data page. If the entered/scanned code matches the code in Master Data, the code will turn green. If the entered/scanned code does not match the code in Master Data, the code will turn red.

6. Save: Click the 'Save' button to save the Open Data Barcode Field and move it to the 'Open Data' tab in the main Tests module page.

7. Cancel: Click the 'Cancel' button to cancel your progress and return to the main Tests module page. If you choose to cancel, you will lose your progress without the possibility of recovery.

Completing an 'Open Data - Barcode Field' in a Record

To complete a Barcode field, simply click into the box under the Test name and enter an alphanumerical value (1), or click on the three dots (2) to activate the barcode scanner.

Note: The 'Type' of the Barcode will only be populated if the Barcode has been scanned. There are three 'Types' of Barcodes that will be populated in this field:

1. PLU - 4 digits for fruit and veg;

2. UPC - for USA;

3. EAN - for Europe.
