How to Add and Complete a Knife/Sharp Issue Record

Note: A Knife/Sharp Issue Record is a Standalone Record and does not require a Programme to be set up first before it can be created.

The Contamination Control module in Ideagen Safe Food helps you proactively manage and prevent contamination hazards within food production environments.

The Knife/Sharp Issue Record has two workflow stages to be completed. Below are the steps that must be carried out in order to complete a Knife/Sharp Issue Record. Expand each step below for further explanation.

To add a Knife/Sharp Issue Record, navigate to the Contamination Control module via ‘PRP Control>Contamination Control’ and click ‘Add Issue>Knife/Sharp’ to open a blank Knife/Sharp Issue Record.

Expand or collapse content Step 2: Complete Workflow Stage 1 - Issue Details

After creating your Knife/Sharp Record, the Issue Details workflow stage will open. The Issue Details workflow stage must be completed and saved and submitted for the next workflow stage will become accessible. The other workflow stage will remain greyed out and inaccessible until the 'Save & Submit' button has been clicked for the workflow stage before it.

1. Date: The Date the Record was opened will auto populate within this date field. However, it can be changed if needed by clicking into the calendar field and using the calendar to select the correct date.

2. Issued By: Using the Master Data dropdown, select the person to who issued Knife/Sharp. [Mandatory Field]

3. Identifier: Using the open text field, detail the Identifier for the Knife/Sharp. [Mandatory Field]

4. Issued To: Using the Master Data dropdown, select the person who the Knife/Sharp was issued to. [Mandatory Field]

5. Date: Using the calendar field, select the date the Knife/Sharp was issued. [Mandatory Field]

6. Time: Using the dropdown, select the time the Knife/Sharp was issued. [Mandatory Field]

7. Intact?: Using the 'Yes/No' dropdown, select if the Knife/Sharp was intact when issued. [Mandatory Field]

Note: The option of 'Yes' will auto-populate in all rows. However, can be changed using the dropdown.

8. Nonconformance: Using the 'Yes/No' dropdown, note if a Nonconformance is required to be generated after the Knife/Sharp Issue Record. [Mandatory Field]

Note: The option of 'No' will auto-populate in all rows. However, can be changed using the dropdown.

Warning: Selecting 'Yes' within the dropdown does not prompt the system to automatically open a Nonconformance Record, this must be done manually by the User using the 'Actions>Add Related Record>Nonconformance' button within the Knife/Sharp Issue Record.

9. X: Click the 'X' button to remove any Knives/Sharps added.

10. Add Line: Click the 'Add Line' button to add more Knives/Sharps if needed.

11. Save: Click the 'Save' button to save the details you have entered so far to place the Record within the 'Actions' tab. Once saved, the Record will be assigned a sequential 'No.' and the status 'Open - Awaiting Issue Details' will be detailed at the top of the Record. You can hit the 'Save' button as many times as needed until you are ready to finalise your Record, in which you then click the 'Save & Submit' button.

Warning: If you do not click 'Save' or 'Save & Submit' at least once and move away from the Record, you will lose all the details entered and the Record will not be visible in any tab of the Contamination Control module, as it was never created as a Record.

12. Save & Submit: Click the 'Save & Submit' button to save the Issue Details workflow and move to the next workflow stage. If you choose to 'Save & Submit', the workflow stage will be closed, and you must click the 'Edit' button to re-enter the stage to make changes.

13. Cancel: Click the 'Cancel' button if you wish to discard the changes made and move back to the Contamination Control module.

Expand or collapse content Step 3: Complete Workflow Stage 2 – Reconciliation

When the Issue Details workflow stage has been Saved and Submitted, the Reconciliation workflow stage will open.

1. Identifier: The Identifier from the Issue Details workflow stage will be brought down. Using the open text field, the Identifier can be edited.

2. Issued To: The Issued To from the Issue Details workflow stage will be brought down. Using the Master Data dropdown, the Issued To can be edited.

3. Date: Using the calendar field, select the date of the reconciliation.

4. Time: Using the dropdown, select the time of the reconciliation.

Note: The Date and Time fields will populate with the Date and Time the Reconciliation workflow stage was opened.

5. Accounted?: Using the 'Yes/No' dropdown, select if the Knife/Sharp was accounted for at the end of the day.

6. Intact?: Using the 'Yes/No' dropdown, select if the Knife/Sharp was intact for at the end of the day.

7. Notes: Using the open text field, details any notes on the plaster reconciliation.

8. Nonconformance: Using the 'Yes/No' dropdown, note if a Nonconformance is required to be generated after the Plaster Issue Record. [Mandatory Field]

Note: The option of 'No' will auto-populate in all rows. However, can be changed using the dropdown.

Warning: Selecting 'Yes' within the dropdown does not prompt the system to automatically open a Nonconformance Record, this must be done manually by the User using the 'Actions>Add Related Record>Nonconformance' button within the Knife/Sharp Record.

9. Report: Using the open text field, enter any overall comments for the Reconciliation workflow stage.

10. Save: Click the 'Save' button to save the information added to the Reconciliation workflow stage. This will save the information added, but not complete the Record. If you forget to click the 'Save' button before moving away from the Record, you will lose all the information entered. Ensure to click the 'Save' button to save your work and come back to it.

11. Save & Submit: Click the 'Save Submit' button to save the Reconciliation workflow stage and complete the Record. As this is the final workflow stage, if you choose to 'Save Submit', the final workflow stage will be closed, and the Record will be moved from the 'Actions' tab to the 'Complete' tab. Going forward, you must click the 'Edit' button to re-enter the stage to make any changes. Once the Record has been moved to the 'Complete' tab, it cannot be moved back to the 'Actions' tab.

12. Cancel: Click the 'Cancel' button to discard any details added, and move back to the Contamination Control module.
