Monitoring Reports
Remember: Record Data can take up to two hours to be reflected in the System Reports.
Trending Reports
Trending Reports include Variable Test Trending Report, Attribute Trending Report, and Pass Rate by Test. These Reports allow you to identify trends over time. They are based on Attribute and Variable Tests which allow Monitoring Records to receive Pass/Fail Results. Click on the Report name to open the Report in the same browser tab or alternatively you can right click and select to open in a new tab.

The 'Variable Test Trending' Report allows you to gain insight into the use of specific Variable Tests for specific Samples and lets you analyse the Test results.

1. Date From/To: Use the 'From' and 'To' Date fields to set the time frame for which the data should be displayed. Clicking on the Date field will open the calendar function from which you will be able to select your Dates.
2. Samples: Select the Samples you want to see the data for. Use the scroll bar to find the Samples that you want to run a Trend Report for. To select multiple Samples, hold down the 'Ctrl' key on your keyboard and click on the required Samples. Clicking 'Ctrl + A' will select all of the data in the list. The selected Samples will be highlighted in blue, and will appear grey once you click out of the selection.
3. Test: Select the Test you want to see the data for. Use the scroll bar to find the Tests that you want to run a Trend Report for. To select multiple Tests, hold down the 'Ctrl' key on your keyboard and click on the required Tests. Clicking 'Ctrl + A' will select all of the data in the list. The selected Samples will be highlighted in blue, and will appear grey once you click out of the selection.
4. Frequency: Click on the dropdown arrow to select the Frequency for which you would like the data to be shown for, i.e., Daily, Weekly or Monthly.
Note: The Frequency will only be visible within the Bar Chart Graphic. The details beneath the Bar Chart Graphic will always be laid out by Month.
5. Update: Click the 'Update' button to apply the filters to your Report.
6. Arrows: Use the arrows to move through the pages to display the data. The arrows will only appear if the Report data exceeds a single page and spans across multiple pages.
7. Search: Use the Search bar to search for specific words within your Report. Clicking 'Next' will bring you to the following search result for the same requirement.
8. Export: Use the 'Export' button to export the Report results as per your applied filters. Click on the 'Export' icon and select the type of file that you would like to download to your device. Each of the files will display your Report slightly differently, ensure to select the relevant type. You can select from Word, Excel, PowerPoint, PDF, TIFF file, MHTML, CSV, XML and Data Feed.
9. Refresh: Click the 'Refresh' button to refresh your Report.
10. Report Heading: The Report Heading displays the details of the Report:
- Name of Report
- Test(s) Chosen
- Sample(s) Chosen
- Name of your Site
11. Variable Test Trending Chart: The graph visualises the number of Tests that have resulted in a 'Pass', 'Pass, Warning' and 'Fail' for the selected requirements. This chart is colour coded and displays 'Pass' Tests in Green, 'Pass, Warning' Tests in Orange and 'Fail' Tests in Red.
12. Variable Test Count: The 'Y' axis on the left represents the amount of Variable Tests completed.
13. Timeline: The 'X' axis along the bottom represents the dates selected within the filters to create the Report Timeline.
14. Sample: The Samples selected within the filters will appear here.
15. Pass Percentage: The 'Pass Percentage' column shows each Sample's 'Pass' Test Results as a percentage of the 'Total' Tests completed for that Sample.
Pass Percentage Calculation
Divides the Total 'Pass' Results (Count 1: All Tests complete for Sample with Result 'Pass') by Total Tests (Count 2: All Tests completed for Sample with Result 'Pass', 'Pass, Warning' and 'Fail').
Pass Percentage Colour Coding
- Light Grey background if the Result is null or blank
- Red background if the Result is less than 90%
- Green background if the Result is 90% or higher
16. Total: The 'Total' column shows the total Tests completed per Sample, per month.
Total Calculation
Sums all Tests completed for the Sample with Results of 'Pass', 'Pass, Warning' and 'Fail'.
Total Colour Coding
The background will not change colour.

The 'Pass Rate by Test' Report allows you to gain insight into the Pass Rate of specific Variable and Attribute Tests completed over a period of time for all Samples.

2. Test: Select the Test you want to see the data for. Use the scroll bar to find the Test that you want to run a Trend Report for. The selected Samples will be highlighted in blue, and will appear grey once you click out of the selection.
3. Folder: This is the list of folders created for all Test Types. You may have Tests with the same name, so ensure you select the correct folder here.
Note: As all Test Type Folders will be visible within the Folder Filter, you may see the same Folder Name three times if you have the same built within your Attribute, Variable and Open Data Tests.
4. Update: Click the 'Update' button to apply the filters to your Report.
5. Arrows: Use the arrows to move through the pages to display the data. The arrows will only appear if the Report data exceeds a single page and spans across multiple pages.
6. Search: Use the search bar to search for specific words within your Report. Clicking 'Next' will bring you to the following search result for the same requirement.

8. Refresh: Click the 'Refresh' button to refresh your Report.
9. Report Heading: The Report Heading displays the details of the Report:
- Name of Report
- Test(s) Chosen
- Name of your Site
10. Bar Graph: The Blue Bar Graph shows the 'Pass Percentage' for the selected Test by month and plotted along the 'Pass Percentage' Blue Bar Graph is an Orange Line Graph showing the 'Sample Count' (Number of Samples the Test is completed for) for each of the months.
11. Pass Percentage: The 'Y' axis on the left represents the 'Pass Percentage' figures. These figures will also be represented in the Report table, as per point 15 below.
12. Test Count: The 'Y' axis on the right represents the 'Test Count' figures. These figures will also be represented in the Report table, as per point 14 below.
13. Test Name: This is the name of the Test(s) selected within the filters will appear here.
14. Sample Count: This is the number of Samples that this Test was completed for. The data is displayed per month.
15. Pass Percentage: The Pass Percentage is calculating the 'Pass' results as a percentage of the overall Sample Count, i.e., if you had 6 Samples from which 4 Samples received an overall 'Pass' result, the Pass Percentage will be 66.7% [4/6 = 0.67 * 100 = 66.7%]. The data is displayed per month.
16. Total: The 'Total' column will display the total figures for Sample Counts and Pass Percentages for each of the selected Tests.
Pass Percentage Calculation
Divides the Total 'Pass' Results (Count 1: All Tests complete for Sample with Result 'Pass') by Total Tests (Count 2: All Tests completed for Sample with Result 'Pass', 'Pass, Warning' and 'Fail').
In the above example, the total pass percentage is 91.7% for 24 Samples, the calculation is as follows:
Oct '20: 1 Sample, 100% Pass Rate = 1 Pass Result;
Feb '21: 16 Samples, 100% Pass Rate = 16 Pass Results;
April '22: 2 Samples, 100% Pass Rate = 2 Pass Results;
Jan '23: 5 Samples, 60% Pass Rate = 3 Pass Results (5/100 = 0.05 *60 = 3);
Total: 24 Samples, 91.7% Pass Rate = 22 Pass Results ((1 + 16 + 2 + 3 = 22). 22/24 = 0.916 * 100 = 91.7%)

Report Registers
Report Registers include Monitoring Test Registers by 'Sample', 'Programme', 'Test', and 'Open Data Test'. These Reports are lists (registers) of Records by status/type.

The 'Monitoring Test Register by Sample' allows you to run a Report specific to your chosen Samples that were added to Monitoring Programmes.

2. Programmes: Select a specific Programme(s) for which you want to see the data. Use the scroll bar to find the Programmes that you want to run a Test Register Report for. To select multiple Programmes, hold down the 'Ctrl' key on your keyboard and click on the required Programmes. Clicking 'Ctrl + A' will select all of the data in the list. The selected Prorgammes will be highlighted in blue, and will appear grey once you click out of the selection.
3. Samples: Select the Sample(s) you want to see the data for. Use the scroll bar to find the Samples that you want to run a Test Register Report for. To select multiple Samples, hold down the 'Ctrl' key on your keyboard and click on the required Samples. Clicking 'Ctrl + A' will select all of the data in the list. The selected Samples will be highlighted in blue, and will appear grey once you click out of the selection.
Note: The Samples seen in this Filter are the Samples selected within the Monitoring Records only. For example, you will not see all Items from your Master Data, only those Items that have been used as a Sample within a Monitoring Record.

10. Sample: The name of the Samples selected in the filters will be displayed here. They are clickable links which will bring you directly to the Monitoring Record in which this Sample was used.
11. Trace No.: If one was provided in the Monitoring Record, the Trace Number for the Sample will be displayed here.
12. Programme Name: The name of the Programme in which this Sample was used will be displayed here.
13. Conducted: This is the Date that the Monitoring Record with the selected Samples was conducted.
14. Test: This is the name of the Tests conducted for the selected Samples and Programmes.
15. CCP: The CCP column indicates if the Test was marked as a CCP in the Programme, i.e., Yes or No.
16. Value: The value of the Test is displayed here it will either be numerical or open text, as it will depend if the Test relates to an Attribute or to a Variable Test.
17. Result: The result of the Test appears here for Variable and Attribute Tests that have 'Pass', 'Fail', and 'Pass, Warning' limits.
18. Retest: If the Test failed and the retest stage was opened, the column will display 'Yes' if a retest was conducted and 'No' if it wasn't.
19. Retest Value: If a retest was conducted, the Retest Value will be displayed here.
20. Retest Result: If a retest was conducted, the Result of the retest will be displayed here, i.e., 'Pass', 'Fail', or 'Pass, Warning'.
21. Completed By: This is the name of the Employee or Supplier who was selected as the 'Completed By' in the 'Monitoring Record' workflow stage.
22. Verified By: This is the name of the User who completed the Record Verification workflow stage.
The 'Monitoring Test Register by Programme' allows you to run a Report specific to your chosen Monitoring Programme and its Status.

2. Show: Choose the Programme(s) you want to show in the Report. Use the scroll bar to find the Programmes that you want to run a Register Report for. To select multiple Programmes, hold down the 'Ctrl' key on your keyboard and click on the required Prorgammes. Clicking 'Ctrl + A' will select all of the data in the list. The selected Samples will be highlighted in blue, and will appear grey once you click out of the selection.
3. Status: Choose the Status of the Monitoring Record by clicking on the dropdown arrow. You can select from All, All Open Records, Awaiting Monitoring Report, Awaiting Retest, Awaiting Verification, Awaiting Nonconformance and Completed Records.
4. Archive: You can select to view the full list of Monitoring Records for your selected filters, including Archived Records. Choose 'Off' if you would like to see the Archived Records, or choose 'On' if you would only like to see Records that are not Archived. The Archived Records will appear last in the Register.
5. Update: Click the 'Update' button to apply the filters to your Report.

- 'From' and 'To' Dates
11. No.: This is the Record number as provided by the System when a Record is created.
12. Date: This is the Date that the Record was created.
13. Record: This is the name of the Record. Clicking on the name will open the specific Monitoring Record in the same browser tab, or alternatively you can right click and select to open in a new tab.
14. Status: This is the status of the Record, displaying which workflow stage the Record is currently in, Awaiting Monitoring Record, Awaiting Retest, Awaiting Verification, Awaiting Nonconformance, or Closed.
15. Sample: This is the name of the Samples that are present in the Monitoring Records.
16. Trace No.: If the Trace No. was enabled for the Programme and if it was added to the Record, it will be displayed here. Otherwise, it will remain blank. The 'Trace No.' column will appear in every Register by Programme Report.
17. Tests: All of the specific Tests selected in the Monitoring Programme will appear here. Depending on the Programmes selected in 'Show', numerous Tests may appear empty as not every Programme will have those Tests enabled. Tests will only be completed in these columns for relevant Programmes.
18. Result: The overall Result for the Sample checked is displayed here i.e., 'Pass', 'Fail', or 'Pass, Warning'.
19. Completed By: This is the name of the Employee or Supplier who was selected as the 'Completed By' in the 'Monitoring Record' workflow stage.
20. Report: Any comments added to the Report field of the Monitoring Record are displayed here.
21. Archived: The Archive column allows you to see if the Record is archived (Yes) or not (No) in the system. The Archived Records will be displayed at the bottom of the Report.
The 'Monitoring Test Register by Test' allows you to run a Report specific to your chosen Tests and Samples. Please note, only Attribute and Variable Tests are considered in this Report as only they carry Pass and Fail Results in the System.

The 'Monitoring Test Register by Open Data Test' allows you to run a Report specific to your chosen Open Data Tests and Samples. Please note, only Open Data Tests are considered for this Report.

14. Conducted: This is the Date that the Monitoring Record with the selected Tests and Samples was conducted.
15. Test Name: This is the name of the specific Open Data Tests conducted for the selected Tests and Samples.
16. Value: The value of the Test is displayed here.
17. Completed By: This is the name of the Employee or Supplier who was selected as the 'Completed By' in the 'Monitoring Record' workflow stage.
18. Archived: This column shows if the data is Archived - 'Yes' if it is, and 'No' if it's not.
Data Export
The 'Export to Excel' allows you to export all of your Module data for further analysis, reporting and archiving. The Export to Excel Report is limited to the last 12 months of data. This Report is oftentimes used to view the module data in a more visually appealing and user friendly way as it allows you to filter any information more easily by using the Excel formatting options which you may be more familiar with.
Clicking on the blue hyperlink will download the Excel file, called 'MonitoringExport' directly to your device and will be placed in your 'Downloads' folder. Depending on the amount of data in your site, it may take a couple of minutes for the file to be created.

1. Record Name: This is the name of the Monitoring Record. It is a clickable link which will bring you directly to the Monitoring Record in the System.
2. Conducted: This is the Date that the Record was created.
3. Current Step: This is the workflow stage that the Record is currently in.
4. Completed: This is the Date that the Record was completed (Closed and moved to the 'Complete' tab).

1. Programme Name: This is the name of the Monitoring Programme. It is a clickable link which will bring you directly to the Monitoring Record in the System.
2. Last Conducted: This is the Date when a Record for that Programme was last conducted.
3. Open Record: This is the number of how many Monitoring Records are currently in the 'Open' stages for this Programme.
4. Responsible: This is the person selected as 'Responsible' for the Monitoring Programme.

1. No.: This is the Record number as provided by the System.
2. Date: This is the Date that the Monitoring Record was created.
3. Record: This is the name of the Monitoring Record. It is a clickable link which will bring you directly to the Monitoring Record in the System.
4. Record Status: This is the workflow stage that the Record is currently in.
5. Sample: This is the name of the Sample.
6. Trace No.: This is the Trace number of the Sample, if the 'Enable Trace No.' has been selected in the Monitoring Programme and if the 'Trace No.' field was completed in the Record.
7. Test: This is a list of all of the Tests for all of the Samples. This may be quite a long list if you have a large number of Programmes, Samples and Tests used within your Monitoring Module.
8. Result: This is the Result of the Attribute and Variable Tests.
9. Completed By: This is the Employee/Supplier that was selected as 'Completed By' in the 'Monitoring Record' workflow stage.
10. Report: This is the Report details entered in the 'Monitoring Record' workflow stage.
11. Archived: This is the Archive status of the data. 'Yes' indicates it is archived, 'No' indicated it is active.
Report Manager
Clicking on the 'Report Manager' will bring you directly to 'Utilities>Reports' module in Safefood360°, in the same browser page. There, you can schedule Reports for the Monitoring Module which will be delivered to you via email in a specific format and at specified frequencies. Click here to learn more.
