Add a Percentage Rating with Fixed Responses

Ratings are used in conjunction with Checklists as part of other Programmes, e.g. Internal Audits, Supplier Assessments, Supplier Audits, etc. Ratings allow you to make Automatic Scoring a part of your Programmes, allowing the software to automatically calculate the Score and assign the Record a Result and Rating.

Below are the steps that must be carried out in order to add a Percentage Rating with Fixed Responses.

Step 1: Navigate to Categories via 'Master Data>Categories'. Click the 'Add Specific Category>Rating' Button

To add a Rating in Safefood 360°, navigate to Categories in Master Data using the 'Master Data>Categories' buttons and click the 'Add Specific Category>Rating' button to open a blank Rating page.

Step 2: Complete the Sections of the Rating Page

After opening the Rating page, there are different sections to complete.

See below the details on the Rating page sections:

1. Name: Using the open text field, enter the name of the Rating. This name will appear throughout the system where this Rating is selected, e.g. Programmes. [Mandatory Field]

2. Folder: Select a folder for your Rating. It is recommended to maintain a tidy and organised structure within the system for improved efficiency when using the software, e.g. organising folders by Module the Rating is used such as Audits, Full Assessments, etc. If you require to create a new folder, click on the main ‘My Ratings’ folder, and click the 'New Folder' button at the bottom left side of the folder window. You will be prompted to name your new folder by simply typing into the open text field. To save the new folder, click away from the folder.

1. Name: Using the open text field, enter the Names of the Responses that should be available for selecting within the Audit/Assessment Record under the 'Response' column of the Checklist, e.g. Yes, No, N/A', 'Compliant, Non Compliant', 'Compliant, Minor, Major, Critical, Recommendation', etc. [Mandatory Field]

2. Description: Using the open text field, enter the description of the Responses if needed, e.g. 'Corrective Action Required', etc.

Note: The Description is not seen within the Audit/Assessment Record itself. This information is only seen here within the Rating. Therefore this can be left blank.

3. Score Result: Using the numerical field, enter the Score Value that should be assigned to the Response. Remember to think about the Rating Mode you will be selecting in the next section and ensure your Score Values make sense for the Rating Mode selected.

Tip: For Responses such as 'N/A', 'Not Applicable', etc, that are not involved/shouldn't affect the overall 'Score Result', simply leave the 'Score Result' blank.

Warning: Negative Values entered in the 'Score Result' are only compatible with the Percentage Mode Ratings, not the Addition or Deduction Modes Ratings.

If Negative Responses are included within the Percentage Mode, for each Negative Score Response, the system calculates the gap between the highest potential 'Score Result' of the Response options and the selected Negative 'Score Result' and reduces the Overall Record Score Result by this combined Score Value. For example, if Yes = 50, No = -10, and No is selected as the Response in the Record, the selected 'No' Response Negative Value will become -60.

When Negative Values are used within the Percentage Mode, the Overall Audit/Assessment Record Score Result will not appear in a Negative Values. The lowest the Score Result will appear in the Record is 0%.

4. Blue Arrows: The Blue Arrows can be used to move the Response rows up and down.

Note: The order of the Responses seen within Rating will be reflected in the Response dropdown in the Audit/Assessment Record. 

5. X: Click the red 'X' button to delete a Response. You will be asked to confirm your choice in a pop-up window.

6. Add Line: Click 'Add Line' to add more Responses.

Calculation Mode, Starting Point and Rating Specification

Note: By default the Percentage Mode will always be selected when first creating a Rating.

1. Mode: To create a Percentage Rating, select the Percentage circle. When the Percentage Mode is selected, the system will calculate the Overall Score Result from the selected Responses in the Audit/Assessment Record as a Percentage of the maximum possible Score seen in the last 'To' field.

2. Starting Point: The 'Starting Point' numerical field cannot be edited for the Percentage Mode. It is set to 0% as default.

3. From: The 'From' fields are not editable directly. For the Percentage Mode, the numerical value in the 'Starting Point' will be automatically added to the top 'From' field. The 'From' fields will update as the 'To' fields have been entered.

4. To: Most of the 'To' fields are editable, and are used to define the range of the Percentage for which a certain Rating and Result will be applied. For the Percentage Mode, the numerical value in the final 'To' field will be set to 100% by default, and is the only 'To' field that cannot be edited. Click the 'Add Line' button to extend the 'To' fields. [Mandatory Field]

Note: The Percentage Score Result in the Record will be seen in decimal places. However, decimal places cannot be entered in the 'To' field of the Rating Limits.

Therefore, when the Percentage Score Result is pulling the 'Rating' and 'Result' in the Record from the Rating Limits, if there are decimal places in the Percentage Score Result, the system will round the Percentage Score Result to the nearest whole value, e.g. 69.45% will round down to 69% and 69.61% will round up to 70%.

5. Rating: Using the open text field, enter the Rating verbiage for each Rating line. The Rating is considered as the 'Grade' that you will assign your Audit/Assessment Record. For example, 'Poor, Fair, Good, Excellent', etc. [Mandatory Field]

6. Result: Using the open text field, enter the Result verbiage for each Rating line. The Result is considered the 'Outcome' that you will assign your Audit/Assessment Record. For example, 'Pass, Pass Warning, Fail', etc. [Mandatory Field]

7. X: Click the red 'X'  button to delete a Rating line and confirm your choice in a pop-up window.

8. Add Line: Click the 'Add Line' to add more Rating lines to future extend the 'From' and 'To' fields.

Step 3: Click the 'Save' Button

1. Save: Click the ‘Save’ button to save the Rating to your site.

Note: It's very important to click the 'Save' button, otherwise the Rating will not be added to your site.

2. Cancel: Click the ‘Cancel’ button to discard the Rating and return to the Categories page.
