Add/Edit a Hazard

Safefood360° comes complete with a Hazard Database containing the main recognized Food Safety Hazards. However, as new Hazards emerge, you may wish to add new Hazards to your Hazard Database. Within this article you will find instructions on how to build Hazards in Safefood360°.

The following areas of the system include the use of Hazards:

- Master Data: Materials, Final Product

- Risk: Food Safety Plan

- PRP Control: Microbiological Monitoring Testing, Microbiological Product Testing, Microbiological Product Testing

- Supplier Management: Supplier and Material Full Assessments Records

- Monitoring: Monitoring

Add a Hazard

To add a Hazard in Safefood360°, navigate to the Hazards module using the 'Risk>Hazards' button and click the 'Add Hazard' button to open a blank Hazard page.

Completing the Hazard Details

1. Name: Using the open text field, enter the 'Name' of the Hazard. This should be a specific name of the Hazard and not a generic name such as ‘bacteria’. This name will appear throughout the system where this Hazard is selected, e.g. Records, Programmes, etc [Mandatory Field]

Note: The Hazard 'Name' field has a maximum character limit of 255. The system will not highlight this limit. If you are above 255 characters you will be unable to save the Hazard. Once you have amended the character limit you will be able to to save the Hazard.

2. Hazard/Issue Category: Using the fixed system dropdown, select the 'Hazard/Issue Category'. This list will contain the high-level Category of Hazards, of which there are six: 

- Biological: Covers Biological Hazards such as bacteria, viruses, yeasts, moulds, parasites, etc.

- Physical: Covers Physical Hazards such as glass, metal, wood, etc.

- Chemical: Covers Chemical Hazards such as toxins, contaminants, etc.

- Chemical (Additives): Covers the legally permitted and controlled Chemicals that may be used as Additives in food production, such as antibiotics, preservatives, sulphites, sweeteners, etc.

- Allergen: Covers the 14 major Allergens as prescribed in global legislation.

- Quality/Other: Anything that may not fit into the above Categories, e.g. Radiological, or Quality, can be placed within this Category.

3. Sub Category: Using the fixed system dropdown, select the Hazard 'Sub Category'. This list will populate depending on the selection made in the 'Hazard/Issue Category' dropdown.

Note: As noted above, depending on the option selected within the 'Hazard/Issue Category', the 'Sub Category' dropdown will populate differently. See the different dropdown lists below.

4. Description: Using the open text field, enter a 'Description' of the Hazard. This is ideal for entering the specific nature of the risk associated with your Product/Process for this Hazard, and the source of your information.

Edit a Hazard

Hazards originally populated within the Safefood360° Hazard Data Base can be edited to reflect your own scenario if needed. For example, the 'Description' within the Safefood360° Hazard may not fully reflect your own requirements. Therefore edits/changes can be made. Edits can also be made to those Hazards that you have added yourself using the 'Add Hazard' button. See below the steps to editing a Hazard.

To edit a Hazard in Safefood360°, navigate to Hazards module using the 'Risk>Hazard' button and click the Hazard Category tab where your Hazard needing editing is located, e.g. Biological, Physical, Chemical, etc. Within the Hazard Category tab, click on the name of the Hazard you wish to edit. The Hazard name will be in blue text, which indicates a link.

Once within the tab for your required Hazard Category, locate the Hazard you wish to edit. If the Hazard you are searching for is not on the first page, the Hazard can be found by using the navigation arrows or the search bar.

Within the Hazard overview page, click the 'Actions>Edit' button to access the Hazard page to edit the Hazard.

Once you have accessed the Hazard page under the 'Edit' function, you can make changes to any fields. To save the edits made, ensure to click the 'Save' button at the bottom of the Hazard page. You will be prompted with a 'Reason for Change' screen, where you will need to detail the reason why you have made a change to the Hazard page before confirming and saving the changes. Once you have confirmed the edits using the 'Confirm' button, the system will take you back to the Hazard Overview Page. Edits made to a Hazard will be recorded in the Audit Log. The Audit Log can be accessed via the 'Actions>Audit Log' buttons.

If you do not wish to make edits, click the 'Cancel' button to be brought out of the Hazard page.

Note: If changes are made to the Hazard/Issue Category, the Hazard will be moved to a different Hazard Category tab, e.g. from Physical to Biological, within the Hazard module.

If changes are made to the Sub Category, the Hazard will stay within the same Hazard Category tab, but will be moved to a different folder within that tab. The folder is used when selecting the Hazard within a Plan, Programme or Record.

Note: If you wish to discard the edits/changes made at this point, click the 'Cancel' button within the 'Reason for Change', and click the 'Cancel' button again within the Hazard page. The system will take you back to the Hazard module.

Note: Once you have confirmed the changes and have successfully updated your Hazard. The changes to the Hazard will be reflected immediately in Plans, Programmes and Records throughout the System, e.g Food Safety Plan Hazard Analysis, Supplier and Material Full Assessment Records, etc.

Warning: Remember, the Hazard will be updated within closed/completed Plans and Records also. For example, if you have selected this Hazard in a Food Safety Plan Hazard Analysis that has already been saved and submitted, the change will still occur automatically within this Hazard Analysis. Take this into consideration when making edits/changes to a Hazard.
