How to Raise a Standard Cleaning Record

Note: Standard Cleaning Programmes must be set up first in the Cleaning module before a Standard Cleaning Record can be created. Click here to access the article on setting up a Standard Cleaning Programme

A Standard Cleaning Record can be raised in three ways. Below are the steps that must be carried out in order to add a Standard Cleaning Record. Expand each step below for further explanation.

Option 1: Using the 'Add Cleaning>Standard Cleaning' Buttons within the Cleaning Module

Step 1: Navigate to Cleaning via 'PRP Control>Cleaning'. Click the 'Add Cleaning>Standard Cleaning' Buttons

To manually add a Standard Cleaning Record in the Cleaning module, navigate to the Cleaning module via 'PRP Control>Cleaning' and click the 'Add Cleaning>Standard Cleaning’ buttons.

A pop up will appear on screen prompting you to select the Standard Cleaning Programme for which you wish to add the Standard Cleaning Record. Using the dropdown, or typing into the box, source your preferred Standard Cleaning Programme and click 'Create'.

Once created, the Standard Cleaning Record will open on the Cleaning Record workflow stage. However, the Record will not be placed into the 'Actions' tab until you have clicked either the 'Save' or 'Save and Submit' buttons.

Step 2: Complete the Workflow Stages of the Standard Cleaning Record

Option 2: Using the 'Actions>Add Record' Buttons of a Specific Standard Cleaning Programme

Step 1: Navigate to Cleaning via 'PRP Control>Cleaning', Access 'Plan' Tab and Click 'Actions>Add Record' Buttons

To manually add a Standard Cleaning Record from a Standard Cleaning Programme, navigate to the Cleaning module via 'PRP Control>Cleaning', access the 'Plan’ tab and locate the Standard Cleaning Programme you wish to raise the Record from.

Once you have access the Standard Cleaning Programme, by clicking on the Name, use the 'Action>Add Record' buttons to open a Standard Cleaning Record.

Once created, the Standard Cleaning Record will open on the Cleaning Record workflow stage. However, the Record will not be placed into the 'Actions' tab until you have clicked either the 'Save' or 'Save and Submit' buttons.

Step 2: Complete the Workflow Stages of the Standard Cleaning Record

Option 3: Using the 'Scheduler' Option within a Standard Cleaning Programme

Step 1: Set Up Scheduler within Standard Cleaning Programme

If a Scheduler has been set up within a Standard Cleaning Programme, Standard Cleaning Records will be automatically generated by the system at the frequency detailed.

Standard Cleaning Records generated via a Scheduler will be placed in the 'Actions' tab of the Cleaning module and opened in the Cleaning Record workflow stage.

Important Note on Accessing Cleaning Records

If a Cleaning Programme requires a specific Training Programme to be completed before Users can complete the Cleaning Record, a Training Record must be completed with the Employee names noted as having attended the Training.

Only Users that are Contact Associated with Employees who have been noted as having attended the Training within a Training Record will be able to access the Cleaning Record.

Any Users that are not Contact Associated with Employees who have been noted as having attended the Training within a Training Record will not be able to access the Cleaning Record and will receive an Error on screen.
